Speaker Guidlines for Clubs

1. Contact the speaker by telephone or email.


2. Provide the name of the club/meeting.


3. Location (City and State).


4. Date and time of presentation (time sometimes effects travel).


5. Type of function (Local, Regional, Symposium).


6. Is this an AHS event as opposed to a non AHS event?


7. Reimbursement:Do you pay expenses? Do you pay an honorarium?

Does the club purchase plants to share with members in lieu of an honorarium?


8. Will plants be requested for auction to members? Will speaker get all proceeds?

Will auction proceeds be shared in some percentage with the club? Will the club keep all proceeds?


9.Approximately how many will be in attendance?


10. Will a laptop computer and digital projector be furnished or will speaker be required to furnish? Do you have extension cords?


11. If trip requires overnight accommodations, where will they be? (Some speakers  prefer a hotel to a private residence).


12.  What about transportation? If in driving distance, what will the reimbursement be per mile?  If air travel is required, would the organization like the speaker to purchase own airline tickets? Will someone pick the speaker up at the airport or should speaker get a rental car?


13. What airport is most convenient?


14. There should be an exchange of cell phone numbers in case the speaker is detained in route.


15. There should be someone assigned to the speaker to help in any way needed.


16. Can the meeting room be darkened enough to be able to see the images on the screen?


17. Payment. Honorarium and expenses should be agreed upon prior to making the trip. Payment should be made to speaker at the end of the program.
